What data we collect

We may collect the following information when you use our website or contact us:

  • Name and email address (via our contact form)
  • Phone number (if provided)
  • Company name and service interest (if provided)
  • Message content you send us
  • Technical data such as browser type, IP address, and pages visited (via server logs)
  • Business contact details (name, job role, work email address, company name) obtained from public sources and B2B contact databases, when we contact businesses about our services (see “Business contacts” below)

How we use your data

We use your personal data to:

  • Respond to your enquiries and provide the services you request
  • Send you information related to your enquiry
  • Improve our website and services

We will not sell, distribute, or lease your personal information to third parties unless we are required by law to do so.

Legal basis for processing

We process your data under the following legal bases as defined in the UK GDPR:

  • Consent: When you submit a contact form, you consent to us processing your data to respond to your enquiry.
  • Legitimate interest: To improve our website and services based on usage patterns.
  • Contractual necessity: When we need your data to fulfil a service agreement.

Business contacts

We sometimes contact people in their business role at UK limited companies to introduce our IT support services. We obtain business contact details from publicly available sources and from Apollo.io, a B2B contact database, and we check them against Companies House. We rely on our legitimate interests to do this and limit it to a small number of relevant messages, sent from an address that identifies us. You can object at any time by replying to the message or using the unsubscribe link in it. We will stop immediately and keep your address on a suppression list so that we do not contact you again.

Data retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected. Contact form submissions are retained for up to 12 months unless an ongoing business relationship exists. Business contact data used for outreach is kept for 12 months after our last contact unless we start working together; suppression list entries are kept for as long as needed to honour your objection.

Your rights

Under UK GDPR, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to processing of your data
  • Request restriction of processing
  • Data portability

To exercise any of these rights, email us at hello@evolfe.co.uk.

Cookies and analytics

Our website uses essential cookies required for the site to function. With your consent - given via the cookie banner - we also use the following analytics services:

  • Google Analytics 4: anonymised usage statistics (pages visited, approximate location, device type) to help us improve the website. No analytics cookies are set unless you accept.
  • Apollo.io website tracker: identifies the companies visiting our website to help us understand our business audience. Loaded only after you accept.

If you decline, neither service is loaded and no analytics cookies are set.

Live chat

We use Crisp for live chat. The chat software is not loaded when you open the site - it loads only when you choose to start a conversation, at which point it sets a cookie so we can keep your conversation together across pages and visits. This is a service you actively request, so it is treated as strictly necessary to provide it. If you never open the chat, no chat cookies are set and no chat code runs on your device. Anything you write in the chat is processed by Crisp on our behalf.

Booking a meeting

Our booking calendar is provided by Cal.com and hosted in the EU. It loads only when you scroll to the booking section of our contact page. If you book a meeting, the details you enter (name, email, company, team size, and anything you add in the notes) are processed by Cal.com on our behalf and added to our calendar so we can hold the meeting you asked for.

Changing your mind

You can withdraw or change your consent at any time using the Cookie settings link in the footer of every page.

Third-party services

Our website may contain links to other websites. We are not responsible for the privacy practices of external sites. We encourage you to read the privacy policies of any third-party sites you visit.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with an updated revision date.

Complaints

If you are not satisfied with our response to your data protection query, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
